Platform landing page for the fictional agency Kolm

The brief

The agency used an off-the-shelf CRM that didn’t fit how the team sells and plans. Quotes didn’t look like the rest of the brand, and hours, planning and numbers were spread over several tools.

What I built

  1. Quotes as a web page
Clients open their quote through a personal link, with charts and options they can adjust. The team sees when it’s been viewed.
  2. A sales board that keeps up
Every deal with its next step and a deadline. What’s overdue stands out. The board stays in sync with the CRM the agency already used.
  3. Planning and hours
A weekly plan per colleague, hours logged against that plan, and reports that show where the time goes.
  4. AI where it saves time
A meeting report in the house style after an intro call, images for social media, and Claude reading and writing sales data directly.

01The dashboard

When you log in, you see straight away what needs doing today. Overdue tasks are marked in red. On the right you see how much sits in each stage of the pipeline, for this week, month or quarter.

02The sales board

Every deal sits in the column of its stage, with its value, the contact and the next step, so no lead gets left behind. New candidates come from a prospect scan: scored companies you move onto the board with one click.

03A quote as a web page

Not a PDF in an email, but its own page in the agency’s house style. The client reads the proposal, asks a question and signs at the bottom. The team sees when the quote is opened.

04The price per phase

Further down the quote is the investment per phase, with the number of days. The client sees where the budget goes, and the agency can invoice each phase separately.

05Planning

A week per colleague, with blocks per project. The gauge on the right shows how much of the capacity is already booked. The backlog shows how many hours each project has left.

06Logging hours

You log hours in a weekly calendar, against the projects from the planning. Billable and internal work each have their own colour. When the week is right, you lock it.

Time tracking for one week

07Reports

Utilisation per colleague, time per project, and revenue per client and per month. You see at a glance where the time goes and how much of it is billable.

08Light and dark

Every screen comes in a light and a dark version. Everyone picks what works best for them.

On your phone too

You add the platform to your phone’s home screen as an app, notifications included. And clients read their quote just as easily on their phone.

The platform runs internally at a digital agency. That’s why the agency is called Kolm in these screens, a made-up name, and all clients, colleagues and amounts are invented.
